A guide to creating and utilising chatflows effectively within HubSpot

Chatflows in HubSpot are powerful tools that enable businesses to engage with website visitors in real-time and automate conversational interactions. 

1. Accessing Chatflows:

    • To access chatflows, navigate to the "Conversations" menu in HubSpot and click on "Chatflows."
    • This will take you to the chatflows dashboard where existing chatflows are listed, and new ones can be created.

2. Creating a Live Chatflow:

    • Start by clicking on "Create chat flow" and choose the desired location, such as the website.

    • Select the appropriate inbox where incoming chat messages will be routed, and specify the language settings.
    • Customise the chat flow by adding a welcome message, enabling knowledge base integration for automated responses, and configuring conversation routing options.
    • Utilise targeting settings to determine where the chat should appear based on website URLs, visitor information, or behavior.
    • Customise the chat display, including the heading and behavior, to align with your branding and user experience.

3. Creating a Chatbot Flow:

  • Choose a chatbot template, such as the "Qualify Leads" bot, or create a custom bot from scratch.

  • Select the inbox for message routing and begin building the chatbot conversation logic.
  • Utilise pre-defined questions and responses or create custom ones tailored to your business objectives.
  • Configure actions for the bot to take based on user responses, such as collecting information or routing to a team member.
  • Preview the chatbot to ensure it behaves as intended and integrates seamlessly with your website.
  • Customise targeting settings, display behavior, and data privacy options to optimise the chatbot's performance and user experience.

4. Deploying Chatflows:

  • Once configured, deploy the chatflow or chatbot to your website to start engaging with visitors in real-time.
  • Monitor chat interactions and performance metrics within HubSpot to track effectiveness and make adjustments as needed.
  • Continuously optimise chatflows based on user feedback and analytics to enhance engagement and conversion rates.
