Explaning of email sending terms, Sent, Delivered, Not Sent

A brief guide to interpreting Sent, Delivered, and Not Sent statuses for accurate email campaign analysis.

In HubSpot, "Sent" refers to emails that have started their journey and been processed by HubSpot's sending system, while "Delivered" indicates that the recipient's email server acknowledged receiving the email. "Not sent" emails are those that HubSpot's system prevented from being sent due to various reasons, such as invalid email addresses or issues with the recipient's server.

Here's a more detailed breakdown:

  • Sent:

When an email is marked as "Sent," it means HubSpot has successfully initiated the sending process for that email. This doesn't guarantee the email reached the recipient's inbox, as it could still be caught by spam filters or encounter other delivery issues.

  • Delivered:

"Delivered" signifies that the recipient's email server has confirmed receiving the email. This is a more concrete indication of successful delivery, although it doesn't necessarily mean the email was actually seen by the recipient.

  • Not Sent:

"Not sent" emails are those that HubSpot's system did not even attempt to send. This can happen for several reasons, including invalid email addresses, unsubscribed contacts, or if the email violates HubSpot's sending policies.

Examples of "Not Sent" scenarios:

  • The recipient's email address is invalid or formatted incorrectly.

  • The recipient has unsubscribed from your emails.

  • The email contains an attachment that is too large.

  • The contact is marked as non-marketing.

  • The email exceeds the sending limits of your HubSpot account.

  • HubSpot has suspended your account due to deliverability issues.

Understanding these distinctions is crucial for analysing your email campaigns and troubleshooting delivery problems in HubSpot.
